If you want your patrons to be able to sign up for your email list within Ovationtix, you will have to take advantage of both the Configure Email List and Setup Email functions.
Configure Email List allows you to activate a check box that appears during the checkout process in all sales formats (web, box office, and Ovationtix Phone Room). If patrons check the box, they are flagged in Ovationtix as agreeing to receive promotional emails. This has several ramifications that we will discuss in this article.
Setup Email allows you to link a Constant Contact or Mailchimp account to your Ovationtix account.
To find the Configure Email function, hover over Tools, then click Configure Email List
Clicking Configure Email List will load the following screen:
Details and Privacy - Anything you would like your patrons to know about what you will do with their information. The language you provide here is visible to the customer during checkout.
Opt In Text - What the patron will see when deciding whether or not to be added to your email list.
Customer email list checked by default - If you want the opt-in for your email list to be checked by default, make sure the radio button is set to "Yes"
Enable - If you want to use this feature, make sure the radio button is set to "Yes"
BUT WHAT DOES ACTIVATING CONFIGURE EMAIL LIST DO?
Now that you've configured your email list, what does it mean? Well, any patron that checks "yes" while checking out will be flagged in OvationTix as agreeing to receive marketing emails from you.
This breaks down into several aspects:
1. You can search for them in the Patron Report by using the Communications Preference Filter. You can find this by going to Patron Report--->Add Filter--->Communication Preference--->check "Signed up for email marketing list". After adding the filter and running the report, you will get a full list of patrons who have signed up to be on your email marketing list through OvationTix.
2. They will receive any Post Show Emails you have configured for series to which the customer has purchased tickets.
NOTE - If you do not activate your email list using Configure Email List, your patrons will not receive any Post Show emails.
3. You are able to sync their contact information with your Mailchimp or Constant Contact accounts:
If you want to link your OvationTix account to a Mailchimp or Constant Contact account, this is where you'll do it. To find this option, hover over Tools, then click Setup Email:
Once you've clicked into the tool, you'll be brought to the Setup Email configuration screen. You will see a radio button that gives you the option of choosing either Constant Contact or Mail Chimp.
For Constant Contact, you will need to enter your Constant Contact Access Token. There are instructions on the Constant Contact Set up page in OvationTix on how to do this, but you can also find them here.
For Mail Chimp, you'll have to enter your Mail Chimp API Key. There are instructions on the Mail Chimp set up page in Ovationtix on how to do this, but you can also find them here.
SYNCING YOUR EMAIL LISTS
Once you've linked a MailChimp or Constant Contact account with your OvationTix account, you're ready to start syncing. Keep in mind that this is something that does not happen automatically.
In other words, you will need to manually sync your OvationTix patron accounts with your lists in MailChimp or Constant Contact.
Also, be sure to keep in mind that the only patrons that will be synced are patrons that have signed up to be on your email list (which we set up in Configure Email).
To sync your patrons in Ovationtix to MailChimp or Constant Contact,
Load the Patron Report:

Once you're in the Patron Report, pull up the list you would like to sync, then, on the bottom of the page, click Synchronize with email list:
Once you've clicked Synchronize with email list, a window will pop up that will give you the option to choose a list from your Constant Contact or Mail Chimp account.
Once you've selected a list, you can start syncing! A few things to keep in mind while syncing:
1. You will only sync patrons that have agreed to be on your email list
2. Duplicate patrons will not be added to your list in MailChimp or Constant Contact, provided they have the same email.
3. Again, this needs to be done manually. Syncing your email list does not happen automatically.
