Using the new Lock the Books feature, you now have the ability to lock an event down after it has taken place. By locking an event, you prevent any new sales, fund moving, refunds, or exchanges for that event. You can lock/unlock an event as many times as you like, however, only Master Users and users that have specifically been given access to the Lock the Books feature are able to use it.
However, if a limited user has access to Lock the Books, they can only lock events down - they do not have the ability to unlock an event after it has been locked.
To lock an event, first find a series that has an event that needs to be locked down. Just click on the name of the series from your Ovationtix homepage:
After selecting your series, you'll need to choose an event to lock down. Use the date pull down in the middle of the screen, and make sure to select a date in the past:
As you can see, we'll be locking down the August 4th, 2018 performance.
Once you've selected the event you want to lock, click Lock the Books:
By default, your series will not be locked:
Just slide the white circle to the right to lock!
If you attempt to sell tickets to a series that has been locked, you will find that it is locked down and no further sales are possible:
If you would like to give a non-master user access to Lock the Books, get into your user accounts by hovering over Tools, then clicking on Users:
Find the user you would like to edit, and click Edit to the far right of their name:
Scroll down until you see the option to activate Lock the Books, and click the appropriate square:
Then click Save on the bottom of the screen:
Remember, if a limited user has access to Lock the Books, they can only lock events down - they do not have the ability to unlock an event after it has been locked.
With Lock the Books, you now have event by event control over your Post Event Transactions. You can always unlock an event after locking it, but while locked, you have the peace of mind that no further transactions will be processed.
