It's a brand new season, and you want to start getting some butts into seats! It's always a process renewing folks, but something that can make it just a bit easier is using the renewal feature for FixedPlus Packages.
Before we dive into the renewal process, let's talk a bit about what exactly is required if you want to renew your packages.
Preparing Your Renewal
Before starting the renewal process, there are a few things you should keep in mind.
- You can only renew a FixedPlus Package
- You can only renew a FixedPlus Package with specific shows - you cannot renew from a package that allows patrons to select from multiple shows for a particular ticket.
- You can only renew a FixedPlus Package with specific dates - you cannot renew from a package that allows patrons to select from multiple dates
- You can only renew FixedPlus Packages with ONE matching seating chart - you cannot renew from a show that is using a different seating chart, and your packages all have to use the same seating chart
- You can renew FixedPlus Packages with a different number of shows, as long as they have matching seating charts, and again, specific series/events.
Now that we have that out of the way, let's start renewing!
Part 1 - Choose Your Packages
At minimum, you should have two packages ready to go:
-The Old Package - ie. last year's package, which you sold to your patrons last year
-The New Package - ie. this year's package, which you haven't sold at all yet
These two packages, and/or any other packages you decide to renew, have to match the criteria outlined above. If they do not, you will not be able to renew.
To start the process, hover over Tools, and click Packages:
Find the package you're renewing to - in other words, the new package, and click ready to renew:
In the Copy From pull down menu, select the package you would like to renew from - in other words, last year's package, then click Submit:
You will be brought to a screen with a list of patrons you will be renewing, and their Home Seats:
A patron's Home Seats are the seats that will be held for them after you go through the renewal process. More on that soon. When you're ready to advance, click Next.
You can now select the price points you'd like to use. You can select a Price Point one at a time, or you can set all of them at once by selecting a Price Point under Update all price points, and clicking Update all price points.
When you're happy with your Price Points, and feel confident about all of the information you inputted previously, click Renew:
That's it for the first part of package renewal! By completing this you have put your subscribers seats on hold, and have a list of patron's who are ready to complete their renewal process.
Now let's dive into the second half of the renewal process, where you can manage your renewals, change home seats if needed, and sell some packages.
Part 2 - Managing your Renewals
After clicking Renew, you'll be brought to the renewal management screen:
There are a number of options here, so let's go through them one at a time. We're going to go ahead and skip things like the Patron ID and Patron Name, because those are self explanatory.
SEAT- This enables you to change the patron's Home Seat. If you click Change Seat, a pop-up window will appear which will let you change the patron's Home Seat. The Home Seat is the seat that is currently being held for the patron, until they actually purchase their package
STATUS - Whether the patron has purchased their package or not. If you click where it says Not Yet Paid, you'll be brought the Quick Sell Plus, where you can complete the transaction.
PRICE POINT - This allows you to change the Price Point of the patron's FixedPlus Package
RENEWED ORDER - This column will list the Order ID's of completed renewals.
RELEASE SEAT - If you check this box, and click the Release Seats button on the bottom of the screen, the patron will have their seats released. In other words, the renewal process will be terminated for them, and their seats will be available for sale.
EXPORT OPTIONS - This allows you to export your list of renewees as a CSV or Excel file.
SELECT/DESELECT ALL - Checks/un-checks all boxes on the Release Seat column. If it turns out that you need to start the renewal process over again, this is a great way to do it.
Part 3 - Selling Packages
Go back to the main packages screen after starting the renewal process to check the status of your renewal:
If you see this, you're on the right track. This just means that you've successfully held seats for your subscribers, and you can now start selling them their FixedPlus Packages.
Go ahead and click where it says Renewed (0%), and you'll be brought right back to the renewal management screen. Find a patron you'd like to start renewing, and click Not Yet Paid:
This will transport you to Quick Sell Plus, where you'll see some new options at the top of the screen:
Put a check in the box of the renewing subscription:
Click Add to Cart:
Note that the package and all of it's tickets are now in the patron's cart! Now just proceed with the checkout process:
Once you've completed the checkout process, head back to your packages screen, and note that the Renewed number has changed:
Rinse wash repeat for all of your subscribers, until all of them are renewed into your new FixedPlus Package.
That's about it! Follow these steps, and you should be renewing packages like a champ.
