Prepare Your Households
The first thing you'll want to do is make sure that your Households are set up properly.
When you create a Household, be sure to make one of the members of the Household your Primary Contact.
You can do this at any time for any Household, but it's easiest if you just set this as they're created.
To set a Primary Contact in a Household, get into the Household in question, and check the Primary Contact box for whichever patron you would like to be the Primary Contact:
Then click Save on the bottom right of the screen.
Again, you can do this at any point for any Household, but it's best to remember to do this as they are created.
To the Patron Report!
Now you'll use the Patron Report to suss out any patrons who aren't Primary Contacts.
Before we get too into this, if you need a refresher on the Patron Report, check out this article HERE.
In the Patron Report, the first thing you're going to do is make sure that you know who is in a Household. To do that, you're going to use some Custom Columns.
On the right hand side of the screen, in the Patron Report, click Custom.
Using the Custom Output Filter screen that pops up, check Household Name and Household Primary Contact.
Click Done in the lower right hand corner.
Make sure that whatever Filters and/or Exclusions you want to use are set, then run the report.
You'll note that any patron you set to be the Primary Contact will look like this:
And any patron who was not set to be the Primary Contact will look like this:
It's now time for the final step, where you will remove anyone who is not the head of a Household.
Exporting to CSV and Organizing Your Data
Once you're happy with the results of your Patron Report, on the bottom of the screen, click either Excel or CSV to save your report as an Excel or CSV file.
Once you've exported your report, sort by Household Name, then delete any patron who is not the head of a Household.
That's it! Follow these steps, and you'll be able to avoid sending out duplicate mailings.
